To be eligible to enter the contest, members must have paid 2007 NFPW dues. Dues for new members may be paid until the contest deadline date of January 15, 2007.
No late entries will be accepted.
Publication dates
All entries must have been published, issued, broadcast, printed or e-published between Jan. 1, 2007, and Dec. 31, 2007.
The governing date is the date the broadcast was aired, the date printed on the publication, or the date e-published. If the entry is a series, use publication date of the final article as entry date, which allows beginning article to have been published in previous contest year.
Entry regulations
Entries that receive a first-place award (no ties) will be submitted to the national contest by the Virginia Press Women communications contest.
Entries must conform to national contest categories.
Entries submitted in the wrong category or sub-category, not properly labeled, or failing to have all required written statements will be disqualified.
Entries in all categories except editing, producing, or public relations and advertising brochures must be entirely the work of the member.
EXPLANATION: In Print Media categories 11 through 16, the editor or the producer must be responsible for the product even though the editor or producer may not have done all work on page or publication. Also, few persons in advertising or public relations are totally responsible for any item, ad, brochure, or direct mail campaign. The team principle usually applies. Therefore, the entrant should be the creative planner, responsible for seeing “the message” through.
Members who collaborate on material may enter together, but EACH MUST have paid NFPW dues. Duplicate certificates will be awarded those winners. The contestant's entry form should list all roles in creating the entry. Example: Creative coordinator and copywriter; or copywriter and layout; etc.
Note special instructions printed for entries in each of the following divisions: "print media," "photography," "electronic media" (radio and television and Website pages), "advertising," "public relations/promotion/publicity" and "books/fiction/verse," with specific details printed for some of the categories. If these instructions call for a written statement to accompany the entry, the lack of that statement will disqualify the entry automatically.
Packaging
Each entry MUST be placed in a separate 9-by-12-inch manila envelope (use next
size larger if entry is too snug to slip easily in and out of the envelope). Do not use envelopes that open on the side as the entries are stored and handled vertically. Tuck the flap of the envelope in behind the entry.
When looking at the FRONT or “address” side of the envelope, hold it vertically with the open-end up and clearly write the entrant’s name, affiliate state, category number and sub-category letter on the top right-hand corner of the envelope.
Do NOT fasten or seal the envelope.
Fill out an entry form for each category entered.
Make a compilation sheet for all the entries submitted to the contest. The compilation sheet contains the name and address of the contestant and lists the category number and name and identifying headline or title of all the entries submitted by that contestant. Place the compilation sheet and the payment check on top of the entries to send to the contest chairperson.
The package of entries should contain the following:
- Check made out to VPW communications contest. The contest fee is $20 for the first entry and $10 for each subsequent entry
- Entry envelopes and forms for each entry sorted by category
- Compilation sheet listing all entries in numerical order by category
Entrants should NEVER send a "one-and-only" entry. Duplicate all slides, audiovisuals, audiotapes, Zip disks, CDs, etc.
Members who wish to get their entries back may pick them up at the VPW spring meeting.
Awards
Awards in any category or sub-category will be limited to first, second and third place and honorable mention. No ties are allowed. Judges may decide the number of awards to give within these limits (awards are to be given only if the judge deems them merited). Judges' decisions will be final.
All awards will be certificates. A Sweepstakes winner will be determined by a point system based on the number of entries per category. The individual sweepstakes winner will receive a plaque.
Fees
The entry fee for the 2007 contest is $20 for the first entry and $10 for each subsequent entry. The package must be postmarked NO LATER THAN January 15, 2007. Make checks payable to VPW communications contest.
